Scheduling Activities on the University Calendar


SCHEDULING ACTIVITIES ON THE UNIVERSITY CALENDAR

To avoid conflicts between events and to encourage attendance at worthwhile activities, The University of West Alabama policy requires that no two events (social, athletic, cultural, religious, etc.), open to all students, or to a major segment of the student body, may be scheduled at the same time in conflict with each other. This policy applies to all such events held on the campus or within the local area (easy commuting distance), whether sponsored by student organizations, campus activities board, academic departments, administrative offices, the athletic department, or any other campus group, and it also applies to events on campus sponsored by non-University groups.

All campus events and all other University-related events must be cleared on the official University calendar, which is maintained through the Office of Camps & Events, SUB 1. A person who wishes to schedule an event should first check the facility availability on that particular date on the University Facilities Calendar

Once you have done this an official Event and Facility Request form must be completed before the event will be accepted and approved by the Coordinator of Camps & Events and other campus officials. This form can be found by logging into your Eforms using your TigerNet Username and Password at:

You will then submit an "Event and Facility Request" form which can be found in the left hand column. 

Areas around residence halls and campus apartments are only available for UWA Housing sponsored events. Exceptions to this policy must be requested through the Coordinator of Camps & Events and Assistant Director of Housing & Residence Life at least 10 days prior to the event. Requests for exceptions must be received prior to scheduling the event with the Office of Camps & Events. 

Exceptions will only be made if all of the following conditions apply:

·  The event is open to all residents in the residential area requested 

·  The event will be of interest to a majority of the residents in the residential area requested 

·  The event will begin after 8:00 a.m. 

·  The event will end before 8:00 p.m. (unless otherwise approved)

 

Scheduling on the official University calendar is on a "first come" basis, but in the case of potential conflicts, those involved are encouraged to confer and work out arrangements which are mutually acceptable whenever possible. Events which are not cleared (10 days prior to event commencement) on the University calendar will not be held, regardless of any prior planning which may have been done for them. Exceptions to this policy can be approved only by the President of the University.
